Smalltown Dental is looking for a new Dental Practice Manager to join our rapidly growing team of dedicated dental health professionals. This opportunity may require some local travel as we are a multi-location practice.

Our locations include: Morton, Peoria, Tremont, Hopedale, Chillicothe and Bloomington.

Duties and Responsibilities:

Patient Care

  • Ensure the delivery of quality dental care to patients
  • Respond efficiently to patient and doctor needs and inquiries
  • Organize and present payment schedules with patients
  • Manage specialist referral process

Organizational Meetings and Business Tasks

  • Oversee daily office activities and provide direction and guidance to staff as needed
  • Gather reports from team members for monthly team meetings/report to doctor/owner
  • Oversee project lists and hold team members accountable for completing
  • Prepare agenda for all team/department/doctor meetings/events
  • Manage and ensure that all team members are completing and performing responsibilities correctly
  • Plan and manage dental business operations to ensure excellent patient support services
  • Train, develop, and manage staff to meet performance standards
  • Develop promotional programs to attract more patients
  • Assist in employee performance evaluation, promotion, termination, and retention activities
  • Follow and enforce office policies and regulations
  • Review and approve vacations, sick leave, and personal leave for dental staff
  • Identify areas of improvements and concerns and implement appropriate corrective actions
  • Oversee staff scheduling to ensure full coverage
  • Organize and oversee supply purchases, equipment upgrades, and operation expenses
  • Write business correspondence and reports
  • Run and analyze management reports
  • Maintain patient data according to regulations and company policies
  • Ensure that records are stored securely and in compliance with privacy and security regulations
  • Adhere to all HIPAA regulations
  • Take responsibility for the appearance and functionality of the dental office
  • All other duties as assigned

Communication

  • Respond to patient queries and issues and ensure patient satisfaction
  • Resolve patient issues in accordance with company policies and procedures, healthcare regulations, and dental board standards

Scheduling

  • Approve requested time off/track time off/ and adjust schedule appropriately
  • Complete proper pre-blocks, overseeing the schedule, and provide guidance to the Business team
  • Schedule birthdays/milestone anniversaries in schedule and coordinate
  • Schedule performance evaluations – ensure proper paperwork completed
  • Schedule new hire evaluations at appropriate times- ensure proper paperwork completed
  • Ensure that patient appointment, cancellations, and last-minute adjustments are handled properly

Pay: $40,000.00 - $60,000.00 per year
